Executive Assistant – fully in-office
Direct Hire; up to 110K + bonus
Galleria area
Duties:
- Serve as point person for office maintenance, purchasing, equipment service, and instruction
- Maintain lobby and conference areas, and office space related to new/past employees; manage holiday décor
- Open office to include newspapers, lights, mail/deliveries, kitchens, and maintain supply stock
- Acts as liaison with building manager, building issues, emergency response, HVAC, and landscaping
- Manage relationships with vendors, service providers, and building management companies
- Administer HR duties for office staff; act as point person for company health insurance; assist with onboarding new hires; process applications for yearly company insurance renewal; pull info for annual insurance renewals/audits
- Prepare expense reports for partners/staff and expense reimbursement reports for funds
- Act as admin for minerals employees and act as back-up for other EAs; handle a blend of shared administrative duties with other EA team members including guest support, incoming calls, ad-hoc projects, reservations, travel, and accommodations, and meeting coordination
- Responsible for diverse bookkeeping duties (will train) to include utilizing QuickBooks, assist Accountant, manage daily, weekly, monthly, quarterly, and yearly tasks
Qualifications:
- Bachelor’s degree preferred; some college required
- 7+ years of C-Suite level support in a corporate setting
- Advanced Microsoft Office Suite skills; QuickBooks preferred; technology savvy
- Must be skilled in all levels of executive support from small to large tasks
- Resourceful, highly organized, detail oriented, and motivated
- Poise, tact, and diplomacy; collaborative, team player with positive energy
