Senior Leasing Assistant
Direct Hire; up to 85K + bonus

Duties:
 

  • Prepare leasing reports from database sources (Yardi, CoStar, VTS, etc.) for scheduled briefings
  • Update marketing outlets with space availability and other listing information for broker and prospect consumption
  • Provide word processing, spreadsheet, and correspondence needs to facilitate effective day-to-day leasing ops
  • Prepare and process time-sensitive lease and lease-related documentation (leases, amendments, subleases, assignments, commission agreements and lease economic analysis) of varying dollar amounts
  • Coordinate with leasing agents, property managers, legal counsel, signatories, and accounting department to facilitate information flow
  • Prepare lease commission agreements; verify legal entities, commission rate structure, and timing of payments
  • Process lease commissions for internal and external brokers – verify lease transaction and commission agreement are binding, collecting/verifying invoices, setting up such payments with Accounting, and tracking outstanding payments
  • Maintain and update stacking plans for all properties to ensure accuracy of occupied and vacant suite details
  • Input financial data to receive credit analysis through a third-party credit reporting agency
  • Provide leasing administration support to third-party brokerage firms
  • Assist in development of collateral materials such as informational brochures; use Illustrator, InDesign, and Adobe programs for basic edits to marketing flyers, floorplans, brochures, etc.
  • Maintain trackers and worksheets – lease logs, commission logs, space availability/quoted rates, and “spec suite” program
  • Schedule and distribute eblasts to broker community using direct marketing applications
  • Collaborate on processing lease and lease-related transactions, e.g., Accounting, Property Operations, Legal
  • Assist with planning and executing sponsored events in the market

Qualifications:
 

  • Bachelor’s degree in business-related field required
  • Minimum five (5) years’ experience in a high-volume, professional commercial real estate office environment; highly detailed, data-driven environment
  • Advanced Microsoft Office Suite and proficiency manipulating and auditing online database programs; familiarity with graphic design concepts
  • Strong communication, effective time management, adaptability, prioritization, and deadline driven
  • Confident, professional, eager, and strong interpersonal and client service skills; tact and diplomacy; build relationships and work cohesively
