Job Overview:
We’re seeking a detail-oriented Collections Specialist to manage and maintain a portfolio of assigned accounts. This role is key to ensuring accurate billing and timely collections while providing exceptional support to our Accounts Receivable team. You’ll collaborate closely with Sales Managers, Operations, and customers to resolve issues and improve account performance.

Key Responsibilities:

  • Serve as the primary internal point of contact for assigned accounts, ensuring billing accuracy and resolving discrepancies.
  • Proactively monitor and maintain accounts/portfolio, including customer follow-ups, account adjustments, small balance write-offs, and reconciliations.
  • Partner with sales, branch staff, and senior management to expedite collections and resolve complex issues.
  • Conduct detailed account research to address outstanding service or billing concerns.
  • Communicate account statuses and escalate issues to your direct manager promptly.
  • Process and submit “Transfer to Collections” paperwork for third-party agency actions.
  • Build and maintain positive working relationships with customers and internal teams.
  • Prepare and deliver weekly and monthly account reports to your supervisor.
  • Participate actively in team meetings, share insights, and collaborate on strategies to improve department performance.
  • Meet or exceed departmental goals, demonstrating initiative and accountability.
  • Take on additional duties as assigned to support the team’s success.

Qualifications and Skills:

  • Experience: 5+ years managing high-profile commercial accounts, particularly large-scale portfolios.
  • Communication: Strong verbal and written communication skills to interact effectively with customers and internal teams.
  • Adaptability: Ability to thrive in a fast-paced environment with frequent procedural updates.
  • Technical Proficiency: Competence in using multiple systems concurrently, with advanced proficiency in Microsoft Excel and working knowledge of Outlook, Windows, and Word.
  • Analytical Skills: Sharp problem-solving abilities to analyze customer service and collections challenges.
  • Customer Service Focus: Responsive and proactive in addressing customer needs and maintaining satisfaction.
  • Attention to Detail: Accuracy and thoroughness in work, ensuring quality standards are met consistently.
  • Collaboration: Team-oriented with a cooperative approach to resolving issues and achieving results.
