Job Title: Escrow Administrator (Qualia Admin Experience Required)

Location: Richmond, TX
Department: Escrow Operations / Title Department
Reports To: Executive Vice President

Position Summary

The Escrow Administrator is responsible for supporting the escrow and closing process by managing administrative tasks.  As Qualia Administrator will be responsible for building out workflows, configuring user settings and building documents and working on revenue reconciliation in system.
 

Key Responsibilities

  • Escrow Operations Support

  • Open, process, and maintain escrow files from order entry through post-closing.

  • Review purchase agreements, title commitments, and lender instructions for accuracy.

  • Coordinate with escrow officers, title agents, lenders, and real estate agents to ensure smooth closings.

  • Track escrow funds, prepare disbursement requests, and balance escrow accounts.

  • Qualia Administration

  • Manage day-to-day operations within the Qualia platform, including order setup, workflow customization, and template management.

  • Train and support staff on Qualia use and best practices.

  • Troubleshoot system issues, coordinate with Qualia support, and ensure proper system integrations (e.g., DocuSign, accounting software, etc.).

  • Maintain accurate data entry, reporting, and compliance standards within Qualia.

  • Compliance and Quality Assurance

  • Ensure all escrow transactions comply with RESPA, ALTA, and state-specific regulations.

  • Maintain confidentiality and security of all escrow files and financial information.

  • Support internal audits and quality control initiatives.

  • Customer Service

  • Provide prompt, professional communication with clients and partners.

  • Resolve transaction-related issues efficiently and courteously.


    Qualifications

    • Experience: 2–5 years of escrow, title, or real estate closing experience.

    • Software: Proficient in Qualia (Admin-level experience required).

    • Skills:

    • Strong organizational skills and attention to detail.

    • Excellent written and verbal communication.

    • Ability to multitask in a fast-paced environment.

    • Familiarity with escrow accounting and basic real estate principles.
