Position Summary:
We are seeking a highly organized and detail-oriented Property Administrator to join our dynamic team. In this pivotal role, you will work closely with the Property Manager to provide comprehensive administrative and clerical support for a portfolio of assigned properties and projects.
As the first point of contact for tenants, vendors, and ownership groups, you will deliver outstanding customer service while maintaining a strong focus on efficiency and results. This is a fully on-site position designed for individuals who thrive in a fast-paced, client-facing environment where real-time responsiveness and relationship-building are key.
Key Responsibilities:

Provide full administrative support, including handling phone inquiries, typing correspondence, filing, and distributing communications.

Coordinate and schedule meetings, site visits, and special events as needed.

Support lease administration, including new lease setups, lease modifications, and report generation.

Assist with the preparation and coordination of bid proposals, service contracts, and invoice processing.

Maintain accurate and organized lease and property files.

Track and manage HVAC service agreements and insurance certificates, ensuring timely renewals and compliance.

Support the preparation of monthly and quarterly management reports, as well as annual budgets.
Qualifications:

Prior experience in property management or administrative support is strongly preferred.

Exceptional organizational and communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).

Ability to manage multiple priorities and meet deadlines.

Customer service mindset with a proactive and professional attitude.
