Trial Paralegal needed to boutique downtown law firm
Qualifications
- Bachelor’s degree strongly preferred
- Paralegal certification a plus
- Minimum 10 years as a litigation paralegal in a law firm
- High levels of proficiency in Microsoft Office Suite – Outlook, Word, Excel and Powerpoint, and Windows 11, PDF editing and creation using Adobe or Foxit
- Case management software such as Clio, Filevine, or similar
- Document management software – proficient in iManage or comparable DMS
- Organization skills a must
- Self-starter and must ask for work if work slows down
Preferred Experience
- Significant experience handling complex commercial, probate, employment and similar litigation in state and federal courts.
- Demonstrated expertise managing all phases of e-discovery, including ESI collection coordination, processing specifications, advanced search and filtering, privilege review workflows, and technology-assisted review where applicable.
- Advanced proficiency with Relativity, DISCO, Reveal, Logikcull or Everlaw, including creating and modifying workspace layouts, designing coding panels, running analytics, and generating production sets and load files.
- Prior experience serving as lead trial paralegal on multi-day trials or arbitrations, including war room setup, exhibit and witness management, real-time trial presentation, and daily trial document updates.
- Experience coordinating and supervising outside vendors (court reporters, videographers, e-discovery vendors, trial graphics vendors), including reviewing and enforcing technical and production specifications.
- Strong cite-checking and Bluebook skills, including verifying legal authorities, pinpoint citations, and record references in briefs and motions.
- Familiarity with the Electronic Discovery Reference Model (EDRM) and best practices for handling confidential, proprietary, or regulated data in litigation.
- Experience training or mentoring junior paralegals, clerks, or other support staff on litigation workflows, database use, and trial preparation processes in a law firm environment.
Primary Job Duties and Responsibilities:
Case and Document Management
- Assist attorneys in managing complex litigation cases from inception through trial and appeal.
- Organize, track, and maintain case files, pleadings, correspondence, and production documents within the firm’s DMS and file shares.
- Perform large-scale case organization, including indexing and linking documents for trial or hearing preparation.
- Maintain and update case status logs, discovery tracking charts, and privilege logs.
E-Discovery and Litigation Support
- Coordinate all aspects of electronic discovery, including collection, processing, review, and production of documents.
- Load and maintain databases in eDiscovery platforms; perform quality control checks, deduplication, and metadata verification.
- Apply document coding conventions and ensure consistent data integrity across databases.
- Execute document productions, including Bates numbering, redactions, TIFF/PDF conversions, and load file generation.
- Communicate with litigation support vendors, IT staff, and cocounsel and opposing counsel regarding technical file specifications and deliveries.
- Troubleshoot file format compatibility issues, conduct file conversions, and ensure productions meet court or client specifications.
Pre-Trial and Trial Preparation
- Prepare deposition exhibits, witness binders, and trial notebooks (electronic and hard copy).
- Assist with compiling, labeling, and tracking trial exhibits and managing exhibit lists.
- Develop and maintain trial presentation databases in TrialDirector, TrialPad, or comparable applications.
- Coordinate courtroom logistics, including equipment setup, technical testing, and interface with court IT staff.
In-Trial Support
- Attend trials to manage real-time document presentation, video playback, and exhibit management for attorneys.
- Monitor and organize daily trial documents, create updated exhibit sets, and ensure backups of trial files.
- Provide on-demand technical troubleshooting during trial proceedings.
Administrative and Team Support
- Assist attorneys with drafting discovery requests, responses, and subpoenas.
- Manage docketing and calendaring of court deadlines and hearings.
- Collaborate closely with litigation support, IT, and attorney teams to ensure smooth data and document flow throughout the case lifecycle.
