Position Overview
We are seeking a highly capable Office Administrator to support a fast-paced, professional office environment within a growing financial services organization. This role will serve as the central point of coordination for all office operations and administrative needs. The ideal candidate is polished, confident, adaptable, and thrives in environments where priorities shift quickly and discretion is essential.
This position is best suited for someone with a mature, solutions-oriented mindset who can stay calm under pressure, anticipate needs, and handle last-minute changes without disruption. You will be the go-to person in the office and a trusted support partner to leadership.
Key Responsibilities
- Serve as the primary administrative and operational support for the Houston office
- Manage all day-to-day office administration and coordination
- Handle complex domestic and international travel arrangements
- Coordinate meetings, events, and office logistics, including managing last-minute changes with professionalism
- Act as the main point of contact for visitors, vendors, and internal stakeholders
- Anticipate needs and proactively resolve issues before they escalate
- Maintain a polished, professional office environment
- Support leadership with ad hoc projects and time-sensitive requests
- Handle confidential information with discretion and sound judgment
Required Qualifications
- Prior experience in office administration, executive support, or operations coordination
- Strong ability to work under pressure and adapt to changing priorities
- Excellent written and verbal communication skills
- High attention to detail and strong organizational skills
- Confident, polished, and professional demeanor
- Flexible schedule with the ability to stay late when business needs require
- Spanish language skills are a plus
- Bachelor’s degree is not required
