We are seeking an experienced and detail-oriented Legal Assistant with a background in Insurance Defense to join our clients team in Austin, Texas. The ideal candidate will have a solid understanding of insurance defense litigation and provide essential support to attorneys handling complex cases. This position offers an opportunity to work in a fast-paced environment, supporting senior attorneys with case management, document preparation, and client communication in insurance defense matters.
Key Responsibilities:
- Case Management: Assist attorneys in managing insurance defense cases from inception to resolution, including organizing and maintaining case files, tracking deadlines, and ensuring timely progress on litigation matters.
- Document Preparation: Draft and prepare various legal documents, including complaints, motions, discovery requests and responses, deposition summaries, and settlement agreements. Ensure compliance with court rules and legal standards.
- Discovery Support: Support the discovery process by preparing and organizing discovery requests and responses, reviewing documents, and managing document production. Assist in coordinating discovery responses and ensuring proper filing and deadlines.
- Court Filings: Prepare and file court documents, including e-filing with both state and federal courts. Ensure adherence to court rules, deadlines, and filing procedures.
- Client Communication: Serve as the main point of contact for clients, insurance adjusters, and third-party experts. Provide updates on case progress and assist in scheduling meetings and conferences.
- Trial Preparation: Assist with trial preparation by organizing exhibits, preparing trial binders, assisting with witness lists, and preparing other materials as necessary for court appearances.
- Legal Research: Conduct basic legal research related to case preparation, including reviewing case law, statutes, and insurance policies, and summarizing findings for attorney review.
- Administrative Support: Provide administrative support, including managing the attorney’s calendar, scheduling appointments, arranging travel, and preparing expense reports.
- Timekeeping and Billing: Track billable hours and assist in preparing client invoices in accordance with firm billing practices.
- File Management: Maintain and organize both physical and electronic files, ensuring accurate documentation and easy retrieval of information.
- Liaison with Experts and Vendors: Coordinate with experts, witnesses, and vendors, ensuring that reports and documents are obtained and prepared for use in case development.
Qualifications:
- Associate’s degree in Paralegal Studies, Legal Assistant Program, or a related field. A bachelor’s degree is a plus.
- 2+ years of experience as a legal assistant with a focus on insurance defense or a related practice area.
- Familiarity with insurance defense litigation, including personal injury, coverage issues, liability defense, and claims handling.
- Strong knowledge of legal terminology, court procedures, and litigation processes.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and legal research tools.
- Experience with e-filing systems in Texas state and federal courts.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines effectively.
- Strong written and verbal communication skills, with the ability to interact professionally with clients, attorneys, and external parties.
- Ability to maintain confidentiality, exercise discretion, and handle sensitive information professionally.
- Detail-oriented, proactive, and able to work independently as well as part of a team.
- Ability to work in a fast-paced, deadline-driven environment.
Preferred Skills:
- Experience with case management software Imanage
- Knowledge of insurance policies, coverage disputes, and the nuances of the claims process.
- Experience with legal billing software Clio
