A Texas-based law firm representing homeowners associations, condominium associations, and property management companies is seeking an experienced and highly organized Paralegal to manage a high-volume HOA collections and litigation docket. The ideal candidate will have strong attention to detail, experience handling creditor-side collections or civil litigation matters, and the ability to manage deadlines in a fast-paced legal environment.
This position works closely with attorneys, legal assistants, property managers, and board members to support all stages of HOA enforcement, collections, foreclosure, and litigation matters throughout Texas.
Primary Responsibilities
HOA Collections & Enforcement
- Manage a high-volume HOA collections docket from demand through resolution
- Prepare and review demand letters, notices of delinquency, payment agreements, and acceleration notices
- Coordinate statutory notice requirements under the Texas Property Code and governing documents
- Maintain collection timelines and ensure compliance with firm and client procedures
- Communicate with homeowners, property managers, title companies, and association representatives regarding account status and resolution options
- Process payments, payment plans, and account updates within case management systems
Litigation Support
- Draft pleadings, motions, affidavits, discovery responses, and correspondence for HOA litigation matters
- Prepare lawsuits for filing in justice, county, and district courts throughout Texas
- Coordinate service of process and track returns of service
- Maintain litigation calendars and monitor court deadlines, hearings, mediations, and trial settings
- Assist attorneys with hearing preparation, exhibits, and trial binders
- E-file documents in Texas state courts using eFileTexas and applicable county systems
- Track contested matters, bankruptcy notices, probate issues, and active litigation stays
Foreclosure & Real Property Matters
- Assist with HOA assessment lien foreclosure matters and related statutory requirements
- Order and review title reports, deed records, probate filings, and bankruptcy information
- Coordinate foreclosure postings, notices, and trustee communications
- Review ownership records and chain of title documentation
- Prepare reinstatement and payoff statements
Client & Administrative Support
- Provide regular status updates to HOA clients and property managers
- Maintain accurate electronic and physical case files
- Update client reporting systems and internal tracking spreadsheets
- Manage attorney calendars and docket reminders
- Ensure compliance with firm policies, client guidelines, and Texas procedural requirements
- Assist with onboarding new association clients and transitioning files
Qualifications
- Minimum 3+ years of paralegal experience preferred, ideally in HOA law, collections, creditor rights, or civil litigation
- Strong knowledge of Texas civil procedure and e-filing systems
- Familiarity with HOA governing documents, assessment collections, and Texas Property Code preferred
- Experience handling high-volume litigation or collections matters
- Proficiency in Microsoft Office Suite and legal case management software
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to prioritize deadlines and manage multiple files simultaneously
- Ability to work independently and collaboratively in a team-oriented environment
