We are seeking a detail-oriented and proactive Escrow Assistant to support the Escrow Officer and team in managing residential real estate transactions from opening through post-closing. The ideal candidate will have 1–3 years of escrow or title experience, strong organizational skills, and the ability to manage multiple files in a fast-paced environment.
Key Responsibilities
Prior to Closing
- Order payoffs and final utilities; verify accuracy against title commitments
- Manage file requirements prior to closing, including liens, judgments, and bankruptcy documentation
- Obtain past and current tax information; confirm status of current taxes
- Order and follow up on HOA documents (letters, bylaws, financials, irrigation information)
- Collect and confirm commission information for real estate agents involved in transactions
- Disburse escrow files and verify receipt and accuracy of incoming/outgoing wires
- Prepare legal documents such as Power of Attorney and Quit Claim Deeds as needed
- Maintain ongoing communication with the Escrow Officer regarding file status and updates
- Serve as a backup point of contact for walk-ins and phone inquiries in the absence of the Escrow Officer
- Provide support to team members and assist with front desk/reception duties as needed
Closing Support
- Assist with entering lender figures into the system
- Prepare and print closing documents
- Print checks for closing disbursements
- Assist with distributing and sending final figures to lenders and real estate agents
Post-Closing Responsibilities
- Audit and organize closed files for completeness and compliance
- Prepare files for shipment of loan packages and recording
- Follow up on outstanding escrow funds and unresolved items
- Prepare completed files for scanning and archiving
Qualifications
- 1–3 years of escrow or title experience required
- Knowledge of escrow processes, title commitments, and closing procedures
- Strong attention to detail and ability to ensure accuracy in financial transactions
- Excellent communication and customer service skills
- Ability to prioritize tasks and manage multiple deadlines
- Proficient in Microsoft Office and escrow/title software systems
- Professional demeanor and team-oriented mindset
