Legal Secretary needed for busy trial practice
This role is ideal for a proactive, detail-oriented individual who is proficient in managing complex legal tasks, preparing documents, and providing administrative support in a fast-paced legal environment. As a Legal Secretary, you will assist attorneys with the preparation, organization, and filing of commercial litigation documents, ensuring smooth and efficient case management.
Key Responsibilities:
- Provide administrative support to commercial litigation attorneys, including drafting, formatting, and editing legal documents using MS Styles.
- Prepare, proofread, and file pleadings, motions, discovery requests, subpoenas, and other legal documents in compliance with court rules.
- Manage case files, ensuring documents are organized, easily accessible, and compliant with firm standards.
- Handle calendar management, including scheduling depositions, hearings, court appearances, meetings, and other key events.
- Prepare and file court documents electronically through e-filing systems, ensuring accuracy and adherence to court deadlines.
- Assist with trial preparation, including organizing exhibits, preparing trial binders, and managing evidence.
- Communicate with clients, opposing counsel, experts, and other stakeholders to coordinate case-related matters.
- Perform research and compile case information, including client files, correspondence, and case law.
- Manage the creation and organization of case timelines, documents, and correspondence.
- Prepare correspondence, including emails, letters, and memos, ensuring they are clear, concise, and professionally presented.
- Coordinate travel arrangements and logistics for attorneys, clients, and witnesses.
- Assist with billing, time entry, and preparation of client invoices.
Qualifications:
- Minimum of 5+ years of experience as a legal secretary, with a focus on commercial litigation – trial practice.
- Proficiency in Microsoft Office Suite, particularly MS Styles (for document formatting).
- Strong understanding of commercial litigation processes, including familiarity with legal terminology, court rules, and document filing procedures.
- Exceptional organizational skills with the ability to manage multiple tasks simultaneously and meet tight deadlines.
- Ability to work independently and collaboratively in a team environment.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and accuracy in document preparation and filing.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to prioritize work and manage a high-volume workload.
Preferred Qualifications:
- Previous experience working in a law firm specializing in commercial litigation.
- Experience with document management systems (e.g., iManage, NetDocuments, or similar).
- Familiarity with e-filing systems and other legal software tools.
- Proficiency in other legal technologies and applications.
