Overview:
The Office Administrative Manager will oversee the daily operations of the administrative team, ensuring efficient front office procedures, outstanding client service, and seamless support across departments. This role requires a proactive leader who can manage team workflow, improve office processes, and maintain a welcoming environment for clients and staff alike.
Key Responsibilities:
- Establish and oversee standard operating procedures for reception and administrative functions.
- Manage, coach, and supervise the Office Administration team, ensuring tasks are completed accurately and efficiently.
- Monitor workloads, assign responsibilities, and provide guidance to team members.
- Handle incoming mail, packages, and deliveries, ensuring they are routed promptly.
- Implement new procedures based on company updates and operational changes.
- Maintain professional communication with clients, vendors, and internal teams to deliver exceptional service.
- Coordinate front office operations to ensure a professional and organized environment.
- Identify opportunities to enhance administrative workflows and implement practical solutions.
- Collaborate with management and other departments to support company initiatives and projects.
- Maintain accurate records, office supplies, and documentation in accordance with company procedures.
Qualifications:
- Associate’s or Bachelor’s degree in Business Administration, Office Management, or related field preferred.
- 3–5 years of administrative or office management experience, with at least 1–2 years in a supervisory role.
- Proven ability to manage administrative teams and improve office processes.
- Excellent communication and organizational skills, with the ability to handle multiple priorities.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and aptitude for learning new systems.
- Strong problem-solving abilities and attention to detail.
- Leadership and team development skills with a customer service mindset.
- Ability to work independently and collaboratively in a fast-paced environment.
