Job Title: Escrow Processor/Assistant (On-Site)
Position Overview:
Join our dynamic team as an Escrow Processor/Assistant, where you will play a vital role in ensuring smooth and accurate residential and commercial real estate closings. This on-site position offers an excellent opportunity to develop your expertise in escrow processing, collaborate with industry professionals, and contribute to the successful completion of property transactions.
Key Responsibilities:
- Assist the Escrow Officer in processing and managing residential and commercial closing files, ensuring all tasks adhere to regulatory standards and company procedures.
- Review sales contracts, loan documents, and title commitments to verify compliance and identify requirements for closing, including target dates such as title/survey objection deadlines.
- Coordinate with lenders, homeowners, associations, utility companies, and local authorities to obtain payoff statements, lien releases, and other necessary documentation.
- Prepare and organize all closing documentation, ensuring completeness and accuracy for a seamless transaction process.
- Support post-closing activities by assembling final loan packages, verifying disbursements, preparing closing ledgers, and managing the timely delivery of checks and wires.
- Oversee document recording processes, including preparing documents for electronic or manual recording, and ensure all filings are completed within specified timelines.
- Greet clients professionally on-site, addressing inquiries, and providing exceptional customer service.
- Communicate effectively with agents, lenders, attorneys, and other stakeholders to facilitate smooth transactions.
- Maintain ongoing professional development by participating in training, reading industry publications, and engaging with professional organizations.
- Take ownership of tasks, proactively seek opportunities to add value, and support company growth initiatives.
- Perform additional duties as assigned, including opening and managing files, approving wires, and preparing documents for recording or e-recording.
Qualifications & Skills:
- Minimum of 1 year of direct experience in real estate, title insurance, or mortgage closing processes; actual closing experience is preferred.
- Working knowledge of title insurance and mortgage lending concepts, procedures, and compliance requirements.
- Strong problem-solving skills with the ability to analyze complex title issues and develop effective solutions.
- Exceptional attention to detail and the ability to manage multiple tasks simultaneously while adhering to deadlines.
- Proficiency in MS Office Suite (Word, Excel) and familiarity with title insurance or mortgage closing software.
- Notary certification is required; candidates without one must obtain certification immediately upon hire.
- High school diploma or GED is required; a college degree or paralegal certification is a plus.
