Property Administrator (Medical)
Location: Tampa to Sarasota, FL (travel required between properties throughout the portfolio)

Position Summary
The Property Administrator provides administrative, operational, and financial support for a portfolio of medical office and commercial properties. Working closely with the Property Manager and Assistant Property Manager, this role helps ensure smooth day-to-day property operations, exceptional tenant service, accurate recordkeeping, and efficient financial processing. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple priorities across a multi-property portfolio.
Duties & Responsibilities
- Provide administrative support for the day-to-day operations of a portfolio of medical office and commercial properties.
- Serve as a primary point of contact for tenant inquiries, work orders, service requests, and general property communications.
- Assist with tenant onboarding, move-ins, move-outs, lease documentation, and maintaining property records.
- Coordinate with vendors and contractors to schedule services, track work completion, and maintain compliance documentation.
- Process invoices, prepare purchase orders, and support accounts payable and accounts receivable functions.
- Assist with monthly reporting, budget tracking, tenant billings, and CAM reconciliations.
- Maintain contract files, insurance certificates, vendor records, and other property-related documentation.
- Support property inspections, tenant events, and special projects as needed.
Requirements
- Associate’s or Bachelor’s degree preferred or equivalent combination of education and experience.
- 1+ years of commercial real estate, property management, administrative, or related experience preferred.
- Proficiency with Yardi required.
- Strong financial and administrative experience, including invoice processing, accounts payable, accounts receivable, budget tracking, and financial reporting support.
- Excellent organizational, customer service, and communication skills.
- Strong attention to detail and ability to manage multiple assignments simultaneously.
- Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
- Valid driver’s license and ability to travel regularly between assigned properties.
