Administrative Assistant – Houston, TX
A privately held commercial real estate ownership group is hiring an Administrative Assistant to support day-to-day office operations. This role is ideal for someone who is highly organized, consistent, and enjoys being the person who keeps details, documentation, and schedules running smoothly in a professional office environment.
Duties:
- Provide day-to-day administrative support by handling phone coverage, greeting visitors, responding to routine emails, and assisting with general office coordination as needed.
- Support meetings and scheduling by managing calendars, coordinating appointments, setting up conference rooms, taking detailed notes, and distributing follow-ups/action items when requested.
- Maintain accurate records and documentation by filing/organizing documents, scanning and digitizing paper files, preparing correspondence and reports, and ensuring information is easy to locate and consistently maintained.
- Assist with data entry and tracking by updating spreadsheets/databases, maintaining logs, and supporting internal reporting needs with strong attention to detail.
- Coordinate office logistics by managing mail/shipping (FedEx and other carriers), monitoring office supplies and ordering as needed, and serving as a point of contact for office vendors (cleaning, IT, maintenance).
- Provide basic office equipment support by assisting with light troubleshooting for common issues (printers, phones, conference room setup) and escalating as needed.
Requirements:
- Must have strong administrative experience, prior experience supporting commercial property management teams highly preferred.
- Proficiency with Microsoft Office (Word, Excel, Outlook/email); Google Workspace familiarity is a plus.
- Strong organizational skills and attention to detail, with the ability to keep documentation and processes consistent and reliable.
- Clear written and verbal communication, including comfort drafting/editing emails, memos, and basic reports.
- Ability to prioritize, multitask, and follow through in a steady, professional office environment.
