Administrative Assistant

Position Summary
The Administrative Assistant will provide direct support to the President of a growing commercial property tax consulting firm, assisting with day-to-day administrative operations, invoicing, county communications, hearing scheduling, documentation management, and research initiatives. This position requires a highly organized, detail-oriented professional who can work independently, manage multiple priorities, and thrive in a fast-paced entrepreneurial environment.
Key Responsibilities
- Manage high-volume invoicing and billing processes, ensuring accuracy and timely completion.
- Coordinate communications with county appraisal districts and other governmental entities.
- Schedule property tax hearings, meetings, appointments, and calendar activities.
- Organize, maintain, and manage electronic files, records, and documentation.
- Prepare, edit, and manage documents utilizing Adobe Acrobat.
- Conduct research on prospective clients, commercial properties, and business development opportunities.
- Create, update, and maintain spreadsheets, reports, and tracking systems.
- Monitor deadlines and ensure all required documentation and submissions are completed on time.
- Assist with correspondence, administrative projects, and operational support as needed.
- Maintain confidentiality of sensitive company and client information.
- Support the President with daily administrative needs and special projects.
- Establish and maintain practical workflows, tracking systems, and standard operating procedures to streamline day-to-day operations and provide accountability across all business activities.
Qualifications
- Minimum of 8 years of administrative support experience required.
- Experience within Commercial Real Estate, Property Tax Consulting, Insurance, Oil & Gas, Mortgage, Title Services, or other Professional Services environments strongly preferred.
- Advanced proficiency in Microsoft Excel and Adobe Acrobat required.
- Proven ability to work independently and effectively in a fully remote environment.
- Exceptional organizational, time management, and multitasking skills.
- Strong written and verbal communication abilities.
- High attention to detail and accuracy.
- Self-motivated, proactive, and resourceful with a strong sense of ownership and accountability.
- Passionate about their work and committed to delivering high-quality results.
