Temp Administrative Assistant – Downtown Houston
3-4 month contract role, 100% In-Office (no remote or hybrid)
Covering for maternity leave
Pay $26-28 hour depending on experience
Monday through Friday, 8am to 5pm
Job Objective:
Provide administrative support to the Vice Presidents of Accounting and Information Technology, their direct reports and other department personnel.
Job Duties:
- Schedule meetings for the Vice Presidents of Accounting and Information Technology and other senior managers, including, issuing invitations, assembling background materials, preparing agendas, recording action items, and organizing any necessary catering.
- Compose and/or edit a variety of correspondence, reports, memoranda, and other material requiring good judgment as to content, accuracy, and completeness.
- Prepare and submit expense reports; prepare and submit monthly reports of purchasing card (PCard) activity for department members.
- Answer, respond to and direct telephone calls from staff, public, and outside vendors.
- Coordinate internal and external meetings, conferences, and teleconferences, including various lunch meetings and training sessions, on and offsite.
- Coordinate VP’s calendar and maintain Outlook contact file.
- Coordinate travel arrangements and business expense reporting for VPs and other Accounting and IT department managers and employees.
- Work effectively with other executive administrative assistants, office & field personnel across all departments.
- Assist VP with performance tracking and reporting of various teams.
- Anticipate and initiate action without requiring direction or supervision.
- Adhere to established work schedule, attendance standards and is punctual to work and meetings.
- Assist with overflow work and serve as back-up as needed for other administrative assistants.
- Maintains employee confidence and protects operations, including intellectual property, by keeping information confidential.
- Other duties as assigned by management.
- Two (2) years minimum oil and gas administrative assistant experience.
- Ability to accurately solve problems and exceptional proficiency in data management.
- Ability to establish and maintain effective working relationships with employees, supervisors, other departments, officials, and the public.
- Ability to complete multiple, diverse tasks of differing priorities.
- Excellent written and verbal communication skills.
- Ability to perform tasks and achieve results with a high degree of accuracy and precision.
- Ability to demonstrate strong skills in using correct grammar and punctuation.
- Outstanding administrative and organizational skills.
- Proficiency in the use and application of the following software:
- Required: Microsoft Office (Excel, Word, PowerPoint, and Outlook.
- Required: Associate’s Degree from an accredited two-year university or community college with a degree in business or related field.
- Preferred: Bachelor’s Degree from an accredited four-year university or college with a degree in business, or related field.
