We are seeking a professional and detail-oriented Legal Assistant / Receptionist to support a busy defense law firm. The position combines front-desk responsibilities with legal and administrative support for attorneys and legal staff.
Key Responsibilities
Reception & Front Office
- Greet clients, visitors, and vendors in a professional and courteous manner
- Answer and route incoming calls; take accurate messages
- Manage front-desk coverage, conference room scheduling, and visitor coordination
- Maintain a polished reception area and professional first impression
Legal & Administrative Support
- Assist attorneys and legal assistants with administrative tasks
- Prepare, format, proofread, and file legal documents
- Manage correspondence, mail, and document distribution
- Perform electronic filing (e-filing) with courts and agencies as needed
- Calendar deadlines, hearings, and appointments
- Maintain organized case files (electronic and physical)
- Assist with time entry, billing support, and expense tracking when required
Qualifications
- Prior experience as a Legal Assistant, Legal Secretary, or Law Firm Receptionist
- Experience in a defense firm or civil litigation environment preferred
- Strong organizational skills and attention to detail
- Professional demeanor and excellent communication skills
- Ability to multitask and manage competing priorities in a fast-paced environment
- Proficiency in Microsoft Office (Word, Outlook, Excel)
- Familiarity with legal terminology and court procedures is a plus
