Project Manager needed for busy tax planning practice. Hybrid schedule with exceptional benefits
Project Manager supports the day to day operations of a legal practice group by managing project workflows, monitoring the group’s communications channels, ensuring client project deadlines are timely met, and ensuring attorneys have the information and structure needed to successfully and timely complete client projects. This role is responsible for creating and maintaining the practice group’s project management portfolio, facilitating communication, constantly communicating with group members to ensure timely completion of client projects, and preparing weekly status updates for leadership. The Practice Coordinator must be highly organized, proactive, facilitate communication, and be comfortable constantly following up with group members and working in a fast?paced legal environment. This position is non-exempt and requires four days in the office with one remote day.
Duties and Responsibilities
Project & Workflow Management

Constantly monitor the practice group’s shared project email/message inbox to identify tasks to be completed.

Triaging incoming requests and ensuring tasks are assigned, tracked, and followed through to completion.

Build, maintain, and continuously improve the practice group’s project management portfolio (which currently is a software called Asana), including:

Creating new projects and task structures

Entering deadlines, milestones, and deliverables

Tracking progress and updating statuses

Proactively and constantly follow up with attorneys and staff regarding upcoming deadlines, outstanding tasks, and shifting priorities.

Identify bottlenecks or issues and escalate to leadership as needed.
Communication & Coordination

Serve as the central point of contact for incoming requests related to practice group projects.

Ensure attorneys receive clear, timely updates and supporting documents for assigned matters.

Facilitate communication between attorneys, staff, and cross?functional teams to maintain alignment on timelines and expectations.

·Ensure timely and successful completion of all client projects
Reporting & Analytics

Produce monthly weekly status reports, including progress updates, upcoming milestones, workload distribution, project issues, and risk areas.

Provide data-driven insights to practice group leadership to support decision-making and resource planning.

Maintain accurate records of project history, status changes, and completion timelines.
Administrative & Operational Support

Support practice with calendaring major project milestones, internal meetings, and coordination with efforts of other firm departments related to the practice group such as marketing efforts.

Assist in developing and refining processes, templates, and best practices to improve efficiency and consistency across the practice group.

Assist in onboarding attorneys and staff to the group’s project management workflows and systems.

Assist in onboarding new clients and ensure that all needed files, accounts, billing numbers, etc. are properly and timely established so that client projects can timely begin.
Knowledge/Skills & Abilities

Minimum of two (2) years of experience in a related role; experience in a law firm or professional services firm is required

Proficient experience with Asana preferred

Strong interpersonal skills with a focus on delivering exceptional customer service

Highly organized with keen attention to detail

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Skilled at managing multiple projects and meeting deadlines in a fast-paced environment

Demonstrates a proactive mindset with a willingness to learn, collaborate, and contribute innovative ideas

Prolonged periods of sitting at a desk and working on a computer

Must be able to lift 15 pounds at times

Must be able to access and navigate each department at the organization's facilities
