We are seeking a highly organized and experienced Administrative Legal Assistant to support our Major Claims Counsel for the Western Region. This role involves a wide range of administrative and legal support duties, including contract administration, document management, scheduling, data coordination, and general office operations. The ideal candidate will be proactive, detail-oriented, and capable of working independently in a fast-paced legal environment.
Key Responsibilities:

Provide high-level administrative support to attorney(s), including calendar management and expense reporting.

Assist in contract administration: copying, scanning, routing, data entry, tracking signatures, and drafting basic correspondence.

Organize and maintain centralized filing systems (electronic and physical).

Collect and compile data from various sources such as email, correspondence, and records to prepare summaries or respond to information requests.

Coordinate large electronic data transfers between internal teams and external/retained legal counsel.

Schedule and coordinate meetings, travel arrangements, and event logistics.

Prepare agendas, meeting materials, and maintain detailed minutes or action items as needed.

Respond to and resolve general administrative inquiries quickly and professionally.

Support office operations including supply management, equipment coordination, and handling incoming/outgoing packages and correspondence.

Perform other clerical tasks and special projects as assigned.
Required Skills and Qualifications:

4–6 years of administrative experience, preferably in a legal, insurance, or corporate setting.

Proven ability to manage multiple tasks and deadlines with minimal supervision.

Strong organizational, problem-solving, and critical thinking skills.

Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with legal databases and systems a plus.

Excellent written and verbal communication skills.

Ability to handle sensitive and confidential information with discretion.

Flexible and adaptable, with a strong sense of initiative and urgency.
Preferred Qualifications:

Experience supporting legal teams or working within legal departments.

Exposure to contract management workflows and legal administrative procedures.

Familiarity with document retention policies and electronic document management systems.
